Why Font Embedding is Essential for PDF Accessibility

Font embedding preserves the original appearance of the document, regardless of whether the user has a particular font installed on their device. For screen reader users, embedded fonts provide a smoother, more reliable reading experience. Non-embedded fonts can alter the appearance and layout of the document, potentially leading to confusion and misinterpretation of the content.

Fixing the ‘Font Not Embedded’ Error for PDF/UA Compliance

To fix this error use Adobe Acrobat’s Print Production tool:

  1. Open the Print Production tool.
  2. Select the Preflight option.
  3. Use the wrench icon and type in “font” to find the relevant fix.
  4. Choose the ‘Embed Missing Fonts’ option and apply the fix.

This procedure embeds any fonts that were not initially included in the PDF, fixing the error. Save the file after making this change and retest it with the PAC 2021 checker to ensure the issue has been resolved.

Best Practices for PDF UA Compliance

Regular testing and correction of PDF documents for PDF/UA compliance is crucial. Tools like the PAC 2021 checker play a significant role in identifying issues that could hinder a document’s accessibility. Resolving such issues not only aids compliance but also enhances the overall usability of the document.

Best practices include:

  • Regularly update and check documents for compliance.
  • Understand the common errors and how to fix them.
